Departmental File Shares Maintenance (s.sfsu.edu and sec.sfsu.edu) - Saturday, June 3, 2023, midnight – 8 a.m.

Overview

To improve security and ensure secure access, ITS will upgrade departmental file shares s.sfsu.edu and sec.sfsu.edu on Saturday, June 3, 2023, from midnight until 8 a.m. This upgrade will ensure the server hosting the share files will be more secure. 

What To Expect

The file shares s.sfsu.edu and sec.sfsu.edu will be unavailable during the maintenance window. During the maintenance window, you may be able to access the files hosted here, but please refrain from opening the files as the system may become inaccessible, and you may lose or corrupt your data. Please save and close any open documents and files before the maintenance period to ensure your data is saved.

OneCard System Maintenance (Thursday, June 1st, 2023, 8 p.m.- 9 p.m.)

Overview

ITS will perform the required maintenance to the SFSU OneCard system to improve security and reliability, which resides at SF State, on Thursday, June 1st, 2023, from 8 until 9 p.m. The OneCard system will be unavailable during this maintenance period. 

 

What Can You Expect

The SFSU OneCard system and various integrations will be unavailable during the maintenance window. Impacted systems may include:

• Campus Meal Plans

• eAccounts

• Fill Stations

• Flowbird (Parking Lot Kiosk System)

• Follett Bookstore System

• Innosoft Fusion

• Micros Systems (Cash Registers)

• OneCard Clipper Integration

• Online Photo Submission

• Pinnacle Door Control updates (doors will function, but changes to the system will not )

• Sequoia Systems (Cash Registers)

• Sodexo updates

• StarRez updates

• Transact Mobile Ordering

• TruCredential (for ID Card creation)

• Uniprint

• Xerox Machines

SF State Global Login Single Sign-On (SSO) Migration (Tuesday, June 6, 2023, 8 p.m.)

Overview 

On Tuesday, June 6, 2023, Information Technology Services (ITS) will modify the SF State Single Sign-On (SSO) service to improve login security and reliability. This change will modernize the two-factor authentication (2FA) prompt and make the login experience consistent with the web version of Outlook.

What To Expect 

Users will be presented with a new login screen matching the one currently available on the web version of Outlook. Going forward, all SF State online resources, including email, Gateway, Zoom, DocuSign, and Canvas, will have a consistent login experience. Your SF State login (e.g., 900000000@sfsu.edu) and password will remain the same.

All SF State IT services will remain operational without any service disruption.

Overview

On Tuesday, June 6, 2023, Information Technology Services (ITS) will modify the SF State Single Sign-On (SSO) service to improve login security and reliability. This change will modernize the two-factor authentication (2FA) prompt and make the login experience consistent with the web version of Outlook.

Justification

SSO is one of SF State’s most critical infrastructure services. Many University services are accessed through SSO, and the list keeps growing, making SSO the single, biggest point of failure.

SF State, like many other universities, will be migrating to a “cloud-first” IT strategy to leverage robust security offerings, conditional access, and adaptive authentication.

What to expect

Users will be presented with a new login screen matching the one currently available on the web version of Outlook. Going forward, all SF State online resources, including email, Gateway, Zoom, DocuSign, and Canvas, will have a consistent login experience. The SF State login (e.g., 900000000@sfsu.edu) and password will remain the same.

Migrate all departments' data from Departmental Shares and Secure Departmental Shares to Box.com
Component

The project aims to transition to Box’s cloud storage as the primary shared and collaborative file storage service for San Francisco State University.

Data will be migrated from the University’s current portfolio of shared/collaborative storage for data including:
• Departmental Shares
• Secure Departmental Shares

ITS will work with individual departments to design their Box folder structure/permissions and migrate data before May 31, 2024. All new shares moving forward will be created in Box, or in OneDrive when appropriate (OneDrive = individual data for Office Online use + workstation profile backup (does not replace the need for Box as official data storage)).

Overview

SumTotal & CSU Learn Outage (Friday, May 12, 2023)

Overview

The Chancellor’s Office has informed ITS that SumTotal is currently experiencing an outage, and the CSU Learn platform is offline. The site will be up and running shortly. We apologize for any inconvenience this may have caused you on your users on campus.

Users may have trouble accessing CSU Learn during the outage.

James is a master trouble-shooter, architect, and all around great technical resource. In recent months, whenever there's been an issue impacting web & mobile services, James has figured out the issue within minutes of being engaged. He is reliable, fast, and accurate. He collaborates well with other technical staff and has a thorough understanding of potential risks and outcomes from different architectural choices. 

Monthly Windows Update (Saturday, May 13, 2023, 6 p.m.-midnight)

Overview

ITS will apply monthly Windows security updates and critical updates on Windows servers on Saturday, May 13, 2023, from 6 p.m.-midnight. The latest Windows security patches fix the vulnerabilities and errors in Windows and associated software. Security and critical updates reduce the risk of exploitation by malware or hackers.

What Can You Expect

During the maintenance window, users may experience a brief loss of service while each server is rebooted. Each server is expected to be unavailable for less than 10 minutes during the maintenance window.

Campus Solutions (CS) 9.2 & Human Resources (HR) 9.0 Production Downtime (Friday, May 5, 2023, 8 p.m. – midnight)

Overview

The Chancellor's Office has scheduled a downtime maintenance window for campus PeopleSoft platforms (Campus Solutions (CS) 9.2 and Human Resources (HR) 9.0). The downtime will occur on Friday, May 5, from 8:00 p.m. to midnight while the Chancellor's Office works to apply a maintenance pack upgrade.

Benefit: 

  • Removing non-matriculated programs from appearing in EAB Navigator
  • Masking banking routing and account information for direct deposit administrative pages in CS
  • Correcting security profiles in HR
  • Including additional eligibility criteria for Flexible Spending Account (FSA) requirements

What Can You Expect

 Campus Solutions (CS) and Human Resources (HR) will not be available during the maintenance window.
