Overview 

Information Technology Services (ITS) will perform maintenance on the OnBase Production Environment on Thursday, November 6, 2025, from 8 p.m. to 8:30 p.m. 

 

Benefit 

This maintenance will enhance security for accessing OnBase.  

 

What to Expect 

OnBase users may be disconnected from any active sessions during the nighttime maintenance window and may need to re-login to OnBase.

Overview 

The Chancellor's Office (CO) has scheduled a maintenance downtime window for campus PeopleSoft platforms, Campus Solutions (CS) 9.2. The downtime will occur on Friday, October 31,from 8:00 p.m. to midnight, while the Chancellor's Office works to apply a maintenance pack upgrade. 

 

Benefit: 

Improves accuracy and reliability of financial aid processing by updating Cal ISIR records for 2026–27 and enhancing MCS enrollment and payment validation. 

 

What to Expect 

Campus Solutions (CS) will not be available during the maintenance window. Affected applications include: 

- CPaGE Quick Admit 

- Gator Scheduler 

- Accept Admission Offer

Overview 

ITS will be deploying updated ServiceNow email notification templates for Incident and Task tickets. This update focuses on improving the overall layout and readability of email notifications sent from ServiceNow. 

Notifications impacted include: 

  • Ticket Opened 
  • Comment Added 
  • Completed / Resolved 

These updates will not change how notifications are triggered or who receives them—only the formatting and presentation of the messages. 

 

Benefit 

The updated templates improve the clarity, consistency, and readability of ServiceNow notifications, making it easier for users to quickly understand ticket updates and next steps. 

 

What to Expect 

No disruption to ServiceNow functionality is expected. The standard ITS Service Desk signature has been removed to give agents flexibility to include their own closing in ticket communications.

Overview

Information Technology Services (ITS) will apply an update to Qualtrics XM, the campus’s survey software, on Sunday, December 7, 2025. This update will ensure the university is following the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), complying with their privacy laws and data minimization requirements. 

 

 Rationale

1. California law defines IP addresses and geolocation as personal information. Under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), data collection must be limited to what is necessary for the intended purpose (Civil Code §1798.100(c)).

 

2. Anonymity and Compliance

Disabling automatic IP and geolocation tracking reduces the likelihood of collecting identifiable data without notice. This supports compliance with legal requirements for user notice, consent, and opt-out options.

 

3. Bias Prevention in Survey Design

Excluding IP and geolocation data from default collection limits the introduction of unintended variables during analysis and prevents the use of location-based information as an interpretive factor unless explicitly required.

 

 

What to Expect

All campus-wide Qualtrics surveys will no longer collect IP addresses or geolocation data by default. Users who have a valid need to collect such data can override the default anonymization policy by disabling the "Anonymize Responses" option in their survey settings.

Information Technology Services (ITS) will apply monthly Windows security and critical updates on Windows servers on Saturday, October 18, 2025, from 6 p.m. to midnight. The latest Windows security patches fix vulnerabilities and errors in Windows and associated software, reducing the risk of exploitation by malware or hackers.  

 

What Can You Expect 

During the maintenance window, users may experience a brief loss of service while each server reboots. Each server will be unavailable for less than 10 minutes during the maintenance window.

On Saturday, October 4, from 4 to 6 p.m., Information Technology Services (ITS) will perform monthly security and critical operating system (OS) updates on the Linux servers.

 

Benefit

These updates address known security vulnerabilities and enhance the overall stability and performance of Linux services.

 

What Can You Expect

During the maintenance window, users may experience a brief service disruption while the system reboots. Each service is expected to be unavailable for approximately ten minutes.

Information Technology Services (ITS) is updating the consent settings for enterprise applications at SFSU on Friday, September 19, 2025, from 3 to 3:30 p.m. This change is part of ongoing efforts to enhance security and improve control over access to university resources.

 

What to Expect

This update will only affect new consent requests. It will not impact any existing user consents. The change is designed to improve security and limit unnecessary access to enterprise resources.

Information Technology Services (ITS) will perform required security maintenance on the San Francisco State University (SFSU) OneCard system, on Friday, September 19, 2025, from 8 a.m. to 9 a.m. The OneCard system and Transact will be unavailable during this maintenance window. 

 

Benefit 

This upgrade will enhance both the security and reliability of the OneCard and Transact systems.

The SFSU OneCard system and its integrated services will be unavailable during the maintenance window.

Information Technology Services (ITS) will apply a critical Oracle patch to the FPPRD and FWPRD databases beginning Friday, September 12, at 5 p.m., through Sunday, September 14, at 5 p.m. These essential security updates will help protect SFSU data and maintain system integrity. During this maintenance window, all services connected to the Oracle databases will be unavailable. 

 

Benefits

This upgrade of the FPPRD and FWPRD databases strengthens security and ensures protection of SFSU data.
