Ivan Wong has provided years of service to me. Back when the Enrollment Management Tech team was dissolved, there was no one assigned to help me implement new CSU requirements for math and English "remediation" and new Early Start BPG work. Ivan--with help from Andy Wong and Whitney Wong--led the way in supporting me when there was little support. To this day, I am impressed with Ivan's combination of deep technical knowledge and friendly customer service. He is AMAZING.

Migration of SF State websites from Drupal 7 to new template and Drupal 8 platform

Benefits

The Drupal 8 platform will enable easier updates and administration of web pages. Site builders will not be required to have a programming background to create engaging websites within a University-approved template.

As part of the ITS initiative to assist site builders during the migration of sites from Drupal 7 to Drupal 8, the Drupal team would like to provide this reference material to the campus community. Hopefully the outline and resources provided will answer many of your questions and concerns. The information below will be updated regularly with new offerings and information so please check back regularly.

Before migrating your site to the new Drupal 8 template, please take some time to review your current content to ensure that it is up-to-date and that the audience you are targeting has not changed.

  • Use Google Analytics to determine on which pages visitors are spending time. If you do not have access to a Google Analytics account for your site, please email service@sfsu.edu and provide a non-personal Gmail account.
  • Review the content on your site. Revisit your content to ensure it is still valid and deprecate any stale information.
  • Determine main navigation links

The Drupal 8 template is designed to work well with less than 7 short, navigation links.

  • Learn how to copy and paste your top pages from Drupal 7 to Drupal 8.

Drupal 8 training is held bi-weekly on Tuesdays at 2:00 p.m. via Zoom. Please open a service ticket requesting a new Drupal 8 development site and scheduling information will be sent. Once a site has been provisioned you will receive an email regarding site information and access.

  • Request a Drupal 8 dev site
  • Request a Quick Start Template (recommended)
  • Copy and paste your top pages from Drupal 7 to Drupal 8      

Migrate content from current Drupal 7 site to Drupal 8 development site. When complete, please get approval from site owner (Dean, Department Chair, VP, etc.) before proceeding further.

  • Open a ServiceNow ticket to request your site be promoted to production.
  • This ServiceNow ticket will be routed to Accessibility for review. Depending on review they may ask for some updates and once approved, the ServiceNow ticket is sent to University Communications for review. You can refer to the ServiceNow ticket to determine status of approval.
  • Pass Accessibility Review from ATI
  • Pass Branding Review from Strategic Marketing & Communications
  • Promote Your New Drupal 8 Site to Production

Once ITS gets approval from ATI and Strategic Marketing & Communications, we will provision your site to production. A copy of your Drupal 7 site will be maintained for up to a month after the new site is provisioned.

Improve the access management process with a focus on the constituent experience and security

Why are we doing this? 

San Francisco State underwent a Chancellor’s Office (CO) mandated Information Security audit in Fall 2019. One of the observations noted that user access in Campus Solutions (CS) needed improvement. To resolve this finding by the audit due date, Information Technology Services (ITS) is designing job-related templates that group permissions based on the type of work performed. This new approach was approved by the Chancellor’s Office and will streamline the CS access request and approval process. Successfully implementing this approach will involve collaborating with faculty and staff across campus.

Our goals

  • Improve the security of our data resources
  • Improve the way campus community members request access
  • Improve the response time and transparency of the request process
  • Empower data owners to set, approve and annually review access to the data in their care

Two-factor authentication (2FA) for all SF State Student accounts. Completion of this project will require users to go through an additional authentication step when accessing web applications and services that are behind the SF State Global Login page.
Component

This project includes GTAs, enrolled students, and continuing education students. Deliverables include a standardized process for incoming students to sign up to two-factor authentication as part of their SF State email account setup.

  • Enable Duo Two-Factor Authentication for all student accounts that access: SF State managed applications containing level 1 data, SSO (Single Sign-On), VPN, Privileged accounts that manage cloud applications. 

  • Improve security posture

  • Reduce compromised accounts due to phishing attacks
