REMINDER: Host Information Profile (HIP) Enablement on OnBase Accounts (Today, December 6, 2023, 6 p.m.)

Overview

To improve SF State’s IT security posture in compliance with CSU policy, Information Technology Services (ITS) will implement a Host Information Profile (HIP) check for all workstations connecting to OnBase beginning tonight, December 6, 2023, at 6 p.m. This change will provide an additional layer of protection and require all users connecting to OnBase to use an SF State-owned and managed device that utilizes an appropriate campus endpoint management system. 

 

If an OnBase user experiences difficulty logging into OnBase, please ensure they use an SF State-provided laptop or desktop. Personal workstations, tablets, and phones can no longer access OnBase services. Further, AT or ITS must manage the SF State workstation accessing OnBase and ensure regular security updates are installed. Nearly all SF State workstations already meet this requirement. 

 

What Can You Expect

As we advance, only those workstations owned and managed by SF State can connect to OnBase services and must meet the High-Risk Workstation criteria.

If you have been connecting with a non-compliant workstation, an endpoint support expert will contact you to develop a remediation plan.

Andrea is the queen of communications! Her assistance before, during and after Cybersecurity Awareness Month was invaluable. Andrea created interesting weekly captions to be included in the Campus Memo, updated the ITS website with the latest News, and tweeted out updates that kept the ITS feed active. Andrea's ability to create attention grabbing headlines is second to none, and I would be lost without her attention to detail, ensuring all the 'i's are dotted and the 't's are crossed!

Oracle Database Maintenance (Friday, December 8, 2023, 5:00p.m. - Saturday December 9, 2023, 5:00p.m.)

Overview

Beginning Friday, December 8, 2023, ITS will apply a critical Oracle patch and O/S update to the IRDMPRD database. These critical security updates ensure our data remains protected. The maintenance will run until Saturday, December 9, 2023, at 5:00 p.m. During the patch, there will be a brief interruption to all services that connect to the Oracle databases. 

 

Benefit: Upgrading the Oracle IRDMPRD will ensure our databases are secure. 

 

What Can You Expect

The following applications and services will not be available during upgrading: 

 

  • Budget AO - Executive Dashboard (Tableau Cloud)
  • Division of Student Life (DSL) GatorX DataMart
  • Metro College Data Feed to SalesForce Cloud
  • Office of Research and Sponsored Programs (ORSP) Data Feed to InfoED Cloud
  • University Advancement CRM DataMart (BlackBaud Cloud)
  • WebFocus reporting services - Dept of IR

Avaya Workplace Servers Outage & Maintenance (Friday, December 8, 2023)

Overview:

Starting on Friday, December 8 at 7 p.m., ITS will be conducting an Avaya Workplace Server maintenance. This maintenance will run through Saturday, December 9, at 12 a.m. During this time, users may be unable to log in to Avaya Workplace or experience an interruption in services. All maintenance will occur during non-business hours for minimal disruption.

 

Benefit: Avaya Workplace will have the ability to support the Automatic Call Distribution(ACD) features and migrate SSO to MS Azure. 

 

What Can You Expect

All Avaya Workplace users may not be able to log in during the maintenance window or may experience intermittent service interruptions.

Student Document Upload

Xiong Y jumped into his new roll with both feet by picking up the Box CLI scripting discovery and quickly pivoting to building out a simple way for admitted students to drop admissions documents into the Gateway for automatic indexing into OnBase. This mighty little tool will save the Admissions team a large number of hours that used to be spent pulling documents from email attachments and manually pushing them into OnBase and indexing them.

JAMES T

There wasn't "all of the above" option. James Tran is one of the most dedicated employees I've had the pleasure to work with. James is always willing to find out what can be done is chaotic situations. Chaotic as in summer conference season operations. Since James has historical knowledge of areas of campus like the residential community, his presence is invaluable.

Monthly Windows Update (Saturday, December 16, 2023, 6 p.m.-midnight)

Overview

ITS will apply monthly Windows security and critical updates on Windows servers on Saturday, December 16, 2023, from 6 p.m.-midnight. The latest Windows security patches fix the vulnerabilities and errors in Windows and associated software. Security and critical updates reduce the risk of exploitation by malware or hackers.

 

What Can You Expect

During the maintenance window, users may experience a brief loss of service while each server is rebooted. Each server is expected to be unavailable for less than 10 minutes during the maintenance window.
