Skillport Training Guide

Human Resources’ Skillsoft e-learning program gives all SF State employees access to thousands of online eLearning courses, books, and videos free of charge, including various industry certification study guides (please refer to certification eligibility requirements). Some courses are required.

 

 


Access Skillport Courses

  1. Verify that your browser is up to date and fully patched (Firefox users may need to configure their browser. See Firefox Browser Configuration)
  2. Open a browser and navigate to: https://ds.calstate.edu/?svc=skillsoft
  3. Select San Francisco
    CSU campus selection tool
  4. Click Login
  5. Use SF State's login page to login with your SF State ID and password
  6. To view required/assigned courses, click View My Plan
    My Plan option on Skillport page
  7. For all other courses, click Browse The Catalog
  8. Click Launch to start a training module

 

Firefox Browser Configuration to Run Skillsoft Courseware

Skillsoft e-learning uses the Skillport portal to deploy Skillsoft and eLawroom course modules. The Skillsoft course modules require current Java and Web browsers, which may need to be updated in order to access the Skillport servers and courseware. Follow the instructions below to configure Firefox as needed:

What is Data Security & Privacy and FERPA & Protecting Education Training? Data Security & Privacy and FERPA & Protecting Education training is required by the Office of the Chancellor for all employees. Data Security & Privacy training covers key concepts of information security and FERPA & Protecting Education training explains the Family Educational Rights and Privacy Act (FERPA) which is a Federal law protecting the privacy of student education records.

Who needs to complete Data Security & Privacy and FERPA & Protecting Education training?
All employees at SF State are assigned the Data Security & Privacy and FERPA & Protecting Education training. Employees are identified using the Human Resources system and are automatically added to the Skillsoft training. The Human Resources system includes full and part-time faculty and staff, administrators, hourly / intermittent workers, and student employees.

When can a new employee complete Data Security & Privacy and FERPA & Protecting Education training?
New employees are able to login and complete Data Security & Privacy and FERPA & Protecting Education the day after their ETRAC appointment has been fully approved. The automated access system cannot be bypassed to give access before the HR transaction is complete, so individuals who need access to sensitive data should not begin work until their ETRAC is complete and they can complete the training.

How do Community Members access Data Security & Privacy and FERPA & Protecting Education training?
At this time, community memebers are not able to access and complete Data Security & Privacy and FERPA & Protecting Education training. If a Community Member needs to complete the training and employee with access to the training can sit with them to review the material and attest they have reviewed the material.

I am no longer employed by SF State...
If you are no longer employeed by SF State, you can ignore the reminders or contact their department to request they end your appointment.

I am on leave or not currently working for SF State...
Individuals on leave or intermittent employees can ignore the reminders or contact their department to reqest they end your appointment.

I am newly hired and cannot access the training...
Ask your HR liason to log in to ETRAC and locate the ETRAC transaction. Review the approvals to confirm Budget and Human Resources have approved the appointment. They day after the transaction is complete you can complete the training.

How can volunteers access Data Security & Privacy and FERPA & Protecting Education training? Volunteers should be appointed into a volunteer classification (0050/0051) so they can complete Data Security & Privacy and FERPA & Protecting Education training.

Why am I receiving reminders to complete the training?

  • The most common reason for receiving a reminder is because only one module has been completed. The Data Security & Privacy and FERPA & Protecting Education training consists of two training modules that must be completed.
  • The second most common reason is skipping the last step to review the certificate of completion. To complete the course, login and move to the last page of the course.

Why do I need to complete the training?
Federal and state laws require safeguarding confidential information. Failure to safeguard information can result in data breaches where personal information is disclosed to individuals not authorized to access the information. CSU Security Policy requires all employees with contact or proximity to confidential information be trained.

But my job doesn't involve confidential information...
Confidential information exists in almost every office on campus. Inappropriate disposal of confidential information can result in paper or electronic documents being found trash and recycling containers. Individuals not directly involved with processing confidential information my have access to areas where the information is stored and/or processed.

I don't understand the training. 
Individuals that have difficulty comprehending Data Security & Privacy and FERPA & Protecting Education training should contact their supervisor and request and alternative delivery method.

How much time do I have to complete the Data Security & Privacy and FERPA & Protecting Education training?
You have 45 days from the time you received notification of the training. Access to systems containing sensitive data is restricted to those who have completed the training.

The Data Security & Privacy course tells me I need to encrypt my computer because I access student records. What do I do?
Both Macintosh and Windows computers have built-in encryption tools. Please see the policy on Safeguarding Information.

What is ESIP?
ESIP stands for Employee Security and Information Privacy and has been replaced with Data Security & Privacy and FERPA & Protecting Education training.

How can I determine if someone has completed the Data Security & Privacy and FERPA & Protecting Education training?
Reports will be distributed to the campus monthly. If you need to confirm completion before the monthly report is generated, please ask the employee to show their Certificate of Completion. If you grant access to sensitive data and need access to login and check completion please open a service request.

I can't connect to Skillport?
Skillport modules require TLS for security. Make sure you have the latest browser version and have installed any patches. Firefox users should configure their browser. If you continue to experience issues after completing these steps, please submit a service request.
