Microsoft Software Agreements Guide

California State University (CSU) maintains two agreements for Microsoft software through January 31, 2019. The agreements provide software for CSU students, faculty and staff, and auxiliary units.

Software for University & Auxilliary Owned Equipment

Microsoft Enrollment for Educational Solutions (EES) Agreement

The EES Agreement provides software for all CSU faculty and staff, including officially recognized Auxiliary organizations on state-owned equipment.

 

Microsoft products licensed for use under this agreement are:

  • Office Enterprise
  • The most current Desktop Operating System (OS)
  • Expression Studio Web Pro
  • Visual Studio Professional
  • CORE CAL Suite as follows:
    • Windows Server CAL
    • Exchange Server Standard CAL
    • System Center Configuration Manager
  • Microsoft Desktop Optimization Product (MDOP). This product is purchased through the EES Agreement and invoiced back to the participating campuses.

Terminal Server CALs are not included in the EES Agreement and must be purchased through the Microsoft Select Plus Agreement.

How to Obtain Software

  • To request installation of any software covered by the EES Agreement, contact your department/college support person
  • If your department/college does not have a support person, submit a service request for installation assistance or contact the ITS Help Desk via e-mail: service@sfsu.edu or phone: (415) 338-1420.
  • For software not included in the EES Agreement, you may purchase licenses through the Microsoft Select Plus Program.

Microsoft Select Plus Agreement

The Microsoft Select Plus Agreement allows University departments, including officially recognized Auxiliary organizations, to purchase software licenses, not included in the EES Agreement, at significant discounts for University-owned equipment.

 

Purchasing a product license under the Microsoft Select Plus Agreement gives you a perpetual license for that product, regardless of any changes in future EES Agreements. Products covered by the EES Agreement are licensed for the life of the EES Agreement under which they were purchased. If a perpetual license is needed, it should be purchased through the Microsoft Select Plus Agreement.

 

Microsoft Select Plus software licenses must be ordered from Software House International (SHI). To obtain a quote, place orders, or request customer service visit SHI's website, email calstate@shi.com, or call (800) 535-5210.

 

Microsoft Select Plus software products are not for home use - only on University-owned computers. Work at Home rights do not apply to software purchased under the Microsoft Select Plus program.

 

The approved purchase order or SHI receipt for credit card purchases is your license.

 

Media is not included when buying licenses. If media is needed, purchase price will include taxes. To obtain installation files, send a copy of the license to service@sfsu.edu.

 

Software Assurance

Software Assurance (SA) is Microsoft's 3-year maintenance program that allows for a free upgrade within the 3-year life of the Microsoft Select Plus Agreement. All software should be purchased with SA. SA allows you to upgrade the product to the newest version until the SA expires. SA on licenses from previous contracts needs to be renewed. Prices for SA are pro-rated and change every six months. At the end of the contract, departments must purchase additional SA to remain covered.

 

Tax Exempt Orders

Users with tax exemption certificates should specify that they require a Certificate of Electronic Software Delivery at the time of purchase. To make a tax exempt purchase via a credit card, please contact SHI at (800) 535-5210.

 

How to Purchase Visio or Project

  1. Login to SHI using your SF State ID and Password
  2. From the My Products list (on the left) select Microsoft
  3. In the Quantity box for each product, enter the number of licenses to be purchased
  4. Select the check box for the products you will be purchasing (Visio, Project, or both)
  5. Click Add to Cart
  6. Select Shopping Cart
  7. Verify the products and quantities in your cart and select Check Out
  8. When prompted for a shipping address, select your address or click Add A New Address if you don't see your address in the list provided (enter an address that includes your room number even though nothing will be shipped)
  9. Select Yes to Is there a license included in this order?
  10. Click Continue
  11. Select Ground Shipping so the cost is $0
  12. Enter your own user information then Continue
  13. Select Credit Card
  14. Enter payment information

 

How to Purchase Other Software

  1. Contact SHI (calstate@shi.com, (800) 535-5210) to get a quote - SHI will send a quote with a quote number via e-mail
  2. Login to SHI using your SF State ID and Password
  3. From the Orders and Quotes menu, select Retrieve Quotes
  4. Enter the quote number and the e-mail address to which the quote was sent
  5. At the bottom of the screen, click Add to cart
  6. Click Shopping Cart
  7. Click Check Out
  8. When prompted for a shipping address, select your address or click Add A New Address if you don't see your address in the list provided (enter an address that includes your room number even though nothing will be shipped)
  9. Select Yes to Is there a license included in this order?
  10. Click Continue
  11. Select Ground Shipping so the cost is $0
  12. Enter your own user information then Continue
  13. Select Credit Card
  14. Enter payment information

 


Software for Faculty and Staff (Work at Home Rights)

The EES Agreement provides Work at Home Rights (WAH) for all covered software. The WAH program allows faculty, staff and auxiliary employees to purchase deeply discounted software and install one copy of the covered software on a personally-owned computer on which the faculty or staff member is the primary user. WAH media can be purchased online at through OnTheHub (log in with your SF State ID and password). WAH software is not the same as those used to install on campus-owned computers. These media may not be duplicated and they come with their own installation key code that is registered with Microsoft during installation.

 


Software for Students

Microsoft Office

Students enrolled full-time or part-time in a degree granting program at San Francisco State University (i.e., matriculating students) are eligible for a free copy of Microsoft Office 365 Education for Students. To obtain the software:

  1. Mac users: Make sure your computer is fully patched and all Apple updates are installed before beginning the installation process
  2. Log in to your email: live.sfsu.edu
  3. Click Office 365 at the top left of the window
  4. At the homepage, select Install Office 2016 (top right)
  5. Follow the instructions to install the software
  6. When directed to SF State's login page, enter your ID and Password to register your software (NOTE: if you are not directed to SF State's login and are asked to login with Microsoft credentials do NOT enter your SF State information. Contact the ITS Help Desk for assistance: service@sfsu.edu.)

Note: Student employees granted an @sfsu.edu email address must use the work at home program to obtain software.

Microsoft Windows

Students enrolled full-time or part-time in a degree granting program at San Francisco State University (i.e., matriculating students) are eligible for a free copy of Microsoft Windows 10. The software can be downloaded through the student section of OnTheHub (log in with your SF State ID and password).

Important Notes:

  • During the Microsoft Student software setup, you will be required to register the product with Microsoft
  • For assistance with this software, students should contact Microsoft Office 365 University support at (866) 425-3959
  • Students are not allowed to trade or sell the software media
